Field guide // Business relocation
Office move checklist for East Valley businesses
An office move is an operational change with furniture attached. One coordinator and one destination plan prevent most avoidable chaos.
Assign an internal move lead with authority to make schedule and placement decisions. Create an inventory by department, decide what does not move, and map every retained item to the destination.
Coordinate both properties early. Loading docks, elevators, vendor insurance requirements, security, parking, after-hours access, and building protection can control the schedule.
Six to twelve weeks before
Freeze the high-level scope, confirm the destination plan, collect mover estimates, identify IT and specialty vendors, and obtain property-management requirements.
- Inventory furniture, files, equipment, and storage
- Identify what is sold, donated, recycled, or disposed
- Confirm docks, elevators, access, and vendor documents
- Plan IT backup, shutdown, transport, and recommissioning
- Choose move phases and critical departments
Two to four weeks before
Label destination zones, give employees packing instructions, confirm the final inventory, protect confidential records, and publish the day-of communication plan.
Move day
Keep one decision-maker at each site or continuously reachable. Separate sensitive information and high-value technology. Direct placement from the destination plan rather than deciding workstation locations while the crew waits.
Return the business to service
Bring critical workstations, communications, customer-facing areas, and safety systems online first. Track missing or damaged items, remove packing debris according to scope, and update public and vendor address records.
Questions about this move
Who should lead an office move?
Choose one internal coordinator with authority and clear backup contacts. Department leads can supply details, but movers need one final decision path.
Should movers disconnect computers and servers?
Your IT team should own backup, shutdown, disconnection, data security, and recommissioning unless a different specialist scope is explicitly contracted.
What building information is needed?
Loading dock, elevator, parking, access hours, vendor insurance requirements, security, floor protection, and property-manager contacts.
